Voicely Ping Privacy Policy

Gozar Productions LLC ("Gozar Productions," "we," "us," or "our") operates Voicely Ping, a Discord bot that sends private notifications when configured voice channels reach a chosen number of participants.
Information We Process
Voicely Ping processes the following information supplied by Discord:
- Identifiers: server, voice-channel, and user IDs;
- Display information: server and channel names shown in command menus;
- Membership information: server membership and current voice-channel participants;
- Voice-state events: when members join, leave, or move between voice channels; and
- Command interactions: commands and selections submitted to the Bot.
The Bot requests Discord's guild, member, voice-state, and message-content intents. Its current notification features use voice-state and membership information, not message content, and the Bot does not intentionally store message content.
Information We Store
Voicely Ping stores:
- server and voice-channel IDs for configured notifications;
- user IDs and selected participant thresholds;
- each user's time zone, silent-hours schedules, and Do Not Disturb setting; and
- a server preference controlling whether certain command confirmations are visible.
Temporary information: notification state and references to Discord messages may be kept in memory and are cleared when the process restarts.
We do not directly collect user accounts, payment details, IP addresses, browser details, email addresses, or precise location. The Bot does not use advertising trackers.
Uses and Sharing
We use information to:
- save notification and silent-hours preferences;
- monitor participant counts in configured channels;
- send, update, or remove notifications;
- honor silent hours and Do Not Disturb settings;
- respond to commands; and
- maintain security and troubleshoot failures.
We do not sell personal information or use it for targeted advertising.
The Bot operates through Discord, which processes information under Discord's Privacy Policy. We may disclose information when required by law or reasonably necessary to protect users, the Service, or our legal rights. Stored preferences are not sent to advertising or analytics providers.
Retention and Deletion
- Notification and silent-hours settings: retained until removed through the Bot or a verified deletion request.
- Individual notifications: deleted when the user removes that notification.
- Server removal: the current Bot does not automatically delete every stored record when it leaves a server. Administrators should remove configurations first or contact us afterward.
- Temporary runtime state: cleared when no longer needed or when the Bot restarts.
- Backups: if any, may remain for a limited period before being overwritten.
To request access, correction, or deletion, email [email protected] with the relevant Discord user or server ID and enough information to verify your authority. Limited records may be retained for security, legal compliance, or dispute resolution.
Security, Children, and International Processing
We use reasonable safeguards and limit stored data to what the Bot needs, but no online service is completely secure. Voicely Ping is a general-audience service, is not directed to children under 13, and requires users to meet Discord's minimum age for their country. Information may be processed in the United States and wherever Discord operates.
Depending on your location, you may have rights to access, correct, delete, or object to certain processing. We respond to verified requests as required by applicable law and do not discriminate for exercising a privacy right.
